FAQ: Enter Your Event into Cody Calendar

Are you wondering how to enter your event up on the Cody Calendar? In this article, you’ll learn about the event schedule for Cody Journal and how to get your event added.

What counts as an event?

Cody Calendar was created to help people find where to gather in Cody. Gathering keeps Cody a strong community. We want to support anyone who takes the time and effort to hold events that enhance the community connection in the Cody area.

Any public event bringing people in the community together with the exception of everyday events is very welcome. For example, restaurant specials or regular shopping hours do not count. However, a special dinner event or a sale event would count. Weekly group or club meetings also count.

Why are events free?

Community matters most to Cody, as was shared in this article on “Cody Formal.” The Cody Journal Event Calendar gives a complete picture of the incredible vibrancy of this town because it does not require a membership or limits its focus. Charging for events would restrict this. Therefore, we rely on advertising, advertorial articles, and donations to keep the lights on. This calendar is truly a community project.

How do you find all these events?

We do things more old-school and add events manually and not with an automatic scraper. That means we find and pull from wherever a group, club, or business places their events.

If it’s on social media, we’ll go there to look. If an email newsletter has event information, we subscribe. All of it gets pulled together into the community calendar.

We want clubs, groups, and businesses in the area to promote themselves and their events in the easiest and most effective way possible. We aren’t here to replace those efforts but rather to support them. This is why we go the extra mile to spend the time scrolling and going through lists of websites multiple times each week to gather the event goodness.

Are events throughout the Bighorn Basin included?

The short answer: Yes.

The long answer: We do our best to gather as many events as possible. Currently, the hours we have available limit what we can provide. Because of this, the focus stays mainly on the town with the most events: Cody. Right now, we also gather all events found for Meeteetse and Clark and North Fork and South Fork. We cover what we can for Powell and will expand those events as soon as possible. As for the rest of the Bighorn Basin, we do what we can and are also looking at how to expand while keeping the calendar manageable.

How do I submit an event?

First of all, please check to see if your event is already on the calendar. In many cases, events submitted through the form are already up.

There are multiple ways to get your event up:

  • Use the online form.
  • Email us with all the details and, ideally, the digital flyer created for the event (graphic of some sort).
  • Watch for a public submission form in the future that will allow you to directly manage your events if that’s what you’d prefer. However, we will continue the manual search for events.

How far in advance can I submit events?

We are happy to add your event with a “save the date” graphic or basic information anytime. As the event gets fleshed out, we’ll work with you to get that event updated.

The ideal notice is a month prior to make sure you get in. Some places (food trucks in particular) put up a weekly graphic, making it easy to add at the last minute.

Understand that we do our best to pay attention to the rhythm that works for you. But we cannot promise or guarantee that your event will be posted if we are given less than a day notice or if it’s the day before your event.

The Cody Journal Community Calendar Schedule:

Here is the current general schedule we have. There’s basically one deadline: make sure you see your event on Cody Calendar by Friday the week prior and we’ll do our best to include it in the weekly schedule. Know that we add events almost daily as the week’s schedule permits.

MONDAYS:

TUESDAYS:

  • The weekly printed flyer gets delivered to local business distributors (The Irma Hotel, Libations, and many more locations).
  • The Wednesday email newsletter covering the weekend events is composed and scheduled.

WEDNESDAYS:

  • The email newsletter covering weekend events goes out automatically at noon.

FRIDAYS:

  • The Saturday evening email newsletter covering the Monday-Wednesday events is composed and scheduled.
  • Event entries are added as time allows.
  • DEADLINE: Make sure your event is already up a week prior to the event. 

SATURDAYS:

  • The email newsletter covering Monday-Wednesday events goes out automatically in the evening.
